Custom Software Case Studies from Real Australian Businesses

The best way to judge a software team is by what it has shipped. These are production systems tPanel designed, built and still supports today.

These custom software case studies show systems tPanel has designed, built and continues to support for Australian businesses: a custom Shopify theme for a pet supplies brand, a multi-channel order hub for a retailer, an AI compliance assistant for an NDIS provider, a sales CRM evolved over a ten-year partnership, a multi-office CRM with role-based permissions, and a consumer mobile app. Each case covers the problem the business faced, the system tPanel built, and what changed.

Every screenshot on this page is taken from the real product. Client data is anonymised or blurred where it appears. If a case looks like your situation, the linked service page explains how tPanel approaches that kind of custom business system.

A Custom Shopify Theme for Goldenroo Pets, a Pet Supplies Brand

The Goldenroo Pets storefront: a custom Shopify theme built to the brand's own design system.

Goldenroo Pets is an Australian e-commerce brand selling premium nutrition and care products for dogs, cats, reptiles and small pets. The brand arrived with a complete design identity of its own — and standard Shopify templates could not express it. Theme-editor tweaks had hit their limit, and stacking page-builder apps would have made the store slow before it sold its first product.

tPanel built a custom Shopify theme in Liquid to the brand's design system: shop-by-pet navigation, custom sections for ingredients and feeding guides, and an app-light build that keeps page weight down so the store stays fast. Product structured data and on-page SEO foundations were part of the build, not a retrofit.

A Multi-Channel Order Hub for a Retailer Expanding Online

Custom order hub built by tPanel showing multi-channel campaigns with reseller, warehouse, order and tracking management in one dashboard
The order hub: campaigns, resellers, warehouse routing, orders and tracking in one dashboard.

A traditional apparel company expanding online was running sales campaigns across multiple channels, with orders arriving from resellers and platforms faster than staff could re-type them into spreadsheets. Warehouse allocation, stock movements and tracking numbers were all handled by hand.

tPanel built a custom order hub that pulls every channel into one dashboard: campaigns and resellers are managed in one place, orders route automatically to the right warehouse, and tracking numbers flow back to the customer without manual copying. The client estimates the system cut repetitive manual work by around 80%.

An AI Compliance and Audit Assistant for an NDIS Provider

AI audit assistant tPanel built for an NDIS provider, turning support workers' progress notes into structured, government-compliant claim records
The service-record backend where AI-structured, audit-ready claim records are managed.

NDIS providers must produce structured, compliant documentation for every claim — but the source material is progress notes written by support workers between appointments, on their phones, in a hurry. For this disability support provider, turning messy day-to-day notes into audit-ready records was a constant administrative burden and a compliance risk.

tPanel built an AI audit assistant around the way support workers actually work: they log quick progress notes in a mobile PWA, and AI reads, cleans up and structures the notes into government-compliant claim records. Admin staff review and manage the records in a backend built for audits, not just storage.

A Sales CRM Evolved Across a 10-Year Partnership

Custom sales CRM and lead management system tPanel built and evolved over a 10-year partnership, showing a pipeline tracker from enquiry to settled
The pipeline tracker: every lead moves from enquiry to settled through the client's own stages.

Particle Sales Accelerator needed a CRM that matched its own sales process — not one that forced the team into someone else's pipeline stages. Off-the-shelf CRMs could store contacts, but the real workflow (enquiry, qualification, reservation, contract, settlement) lived outside them, in spreadsheets and memory.

tPanel built a custom sales CRM and lead management system around that exact pipeline, then kept evolving it: major product builds, integrations, automations and companion applications over more than ten years. The same team that built version one still supports the platform today.

A Multi-Office CRM with Location Hierarchy and Role-Based Permissions

Multi-office CRM setup built by tPanel with a location hierarchy and a user-role permission matrix covering sales managers, sales consultants and admin roles
The sales network setup: a location hierarchy and a permission matrix per role.

When a sales organisation grows past one office, the CRM question changes: it is no longer "where are our leads" but "who is allowed to see and do what, in which location". Generic CRMs handle this with bolted-on user groups that rarely match how a real sales network is structured.

tPanel built a multi-office CRM with a location hierarchy — state, region, office — and a permission matrix covering sales managers, sales consultants and admin roles. Each office works its own pipeline; managers see exactly the slice of the network they are responsible for; head office sees everything.

MorrowVault: A Daily Check-In and Digital Legacy Mobile App

MorrowVault mobile app designed by tPanel, showing the daily slide-to-check-in home screen, trusted circles for family and friends, and a vault of items shared after quiet days
MorrowVault: slide to check in, trusted circles, and a vault that opens after quiet days.

MorrowVault is a consumer mobile app with a delicate brief: help people who live alone reassure the people who care about them, and pass on messages and documents if something happens — without the app feeling morbid or intrusive. The product had to build a daily habit around a subject most apps avoid.

tPanel designed the product and interface around one calm daily gesture: slide to check in. Users build trusted circles of family and friends who are notified after too many quiet days, and store vault items — messages, photos, documents — that are only released to chosen people when the quiet-day threshold passes.

What These Custom Software Projects Have in Common

The six systems above serve different industries, but tPanel approached each one the same way:

  • The workflow came first. Each system was designed around how the team already worked — pipeline stages, warehouse routing, progress notes — not around what a software template offered.
  • A working version shipped early. tPanel scopes the first release around the highest-value workflow, then extends the system in stages once real users depend on it.
  • Integration was part of the build, not an afterthought. Orders, tracking, notifications and AI steps connect to the platforms each business already uses.
  • tPanel still supports every system on this page. The longest of these client relationships has passed ten years; support covers fixes, hosting, monitoring and new features.

The tPanel team deliver quality software at a reasonable price, providing real value. They support what they build, which is the element that makes the solution a success. The level of skill and ability to manage complex cloud environments and complex APIs is high. The team is very much aware of how to build secure platforms that protect client information from unauthorised access. The commitment to prompt problem resolution is very high. I would recommend tPanel.
